Group documents into a collection

A collection is a named set of documents and folders, such as everything about one client.

A collection is yours alone. Nobody else sees it, and it changes nobody’s access: documents stay where they are, and a document you can’t open is never part of one.

A collection points at documents where they are. It moves nothing and changes nobody's access.
  1. Choose Collections in the sidebar, then New collection.

  2. Enter a Collection name and choose Create.

  3. Tick documents, or whole folders, in the list. Use Filter documents and folders… to find them.

    A whole folder includes what goes into it later.

  4. Choose the save button. Its label includes the number of additions and removals, such as Save (+3 / −0).

  1. In All documents, open the ⋯ menu on a document’s or folder’s row.
  2. Under Add to collection, choose a collection, or New collection… to make one and add the item in one go.
  • In Ask: in the menu under the question box, choose the collection instead of All documents in this workspace. Every answer in that conversation stays inside it.
  • In the AI co-author: choose it in the second menu above the message box. Besides the document you have open, the co-author looks things up and suggests changes only in the collection.

In Collections, open the collection’s menu and choose Rename… or Delete…. Deleting a collection leaves its documents as they are.

  • A document can be in any number of collections.
  • If you lose access to a document, it drops out of your collections. If you get access back, it returns.
  • Guests can’t create collections.
  • AI tools you connect, such as Claude, can use your collections. Unless you connected them to read only, they can also create, rename and delete your collections and change what’s in them. Those changes apply at once, since a collection only narrows what the AI draws on.
