Roles, groups and guests
Choose a role
Section titled “Choose a role”You can see roles in Settings → This workspace → Members. A person can have different roles in different workspaces.
| Role | What it allows |
|---|---|
| Member | See items shared with the workspace and create documents, folders and databases. Editing depends on each item’s sharing. |
| Guest | See only items shared with them. Reading, commenting and editing depend on the item’s sharing. |
| Admin | Do what a member can, manage people and invite links, change workspace settings and manage items’ sharing. |
| Owner | Do everything under Admin, give any workspace role and delete the workspace. |
Whoever creates a workspace is its Owner. You can have more than one Owner, but the last one can’t be removed or given another role. Someone with Admin can change Member and Guest roles, but can’t change or remove an Admin or Owner.
Share with a guest or group
Section titled “Share with a guest or group”Use Share on an item to give a guest access. Guests can use Ask over documents they can see, when built-in AI is set up. They can’t connect an AI tool to that workspace. Someone outside the workspace who uses a document’s share link signs in and joins as a guest.
To share with a group, in Share, type group: followed by its name in Add by username, name, or group:…. Choose its access, then Save. This grants access to the group’s members.
Look after Stuga itself
Section titled “Look after Stuga itself”Workspace roles are separate from permission to look after the whole Stuga. Only people appointed to do that see This node in Settings. They can set up AI, backups and sign-in, and reset passwords. The first account has this permission.
To appoint someone else, open Settings → This node → Access, select them under Add an administrator, then choose Appoint.
- Invite people — choose the role someone joins with.
- Share a document — set access to one item.
- Create another workspace — keep a separate set of people and documents.
