Create a database

Each column holds one kind of value, such as text or a date. You need edit access to change a database.

  1. Open the folder it belongs in.
  2. In New, choose New database.
  3. Click the title at the top of the page to name the database, and press Enter.
  • Choose New table (the plus button after the table tabs), type the Table name, and choose Create.
  • Each tab’s menu has Rename… and Delete table…. Deleting a table deletes its rows and columns for good.
  1. Choose Add column, the plus button at the right end of the column headers.

  2. Type the Column name, and choose its Type:

    Type Holds
    Text Words and sentences.
    Number Numbers, which sort and filter as numbers.
    Checkbox Yes or no.
    Date A date.
    Single select One of a list of Choices you type, separated by commas, such as Todo, Doing, Done.
    Files Files you attach. See Attach files to rows.
  3. Optionally, add a Description of what the column holds. See Describe columns for people and AI.

  4. Choose Add column.

Each column header has a ⋯ menu with Rename…, Change type…, Describe… and Delete column…. When you change a column’s type, values that don’t fit the new type become empty, and the window warns you first.

  • Choose New row under the table, then click a cell to fill it in.
  • Click a cell to edit it. Enter saves, Escape cancels. A checkbox changes with one click.
  • Click a column’s name to sort by it: once for ascending, again for descending, a third time to stop.
  • To delete rows, tick them at the left, choose Delete, and confirm.

Changes appear for other people who have the database open.

Open the side panels with the Side panels button at the top right, and choose Activity. It lists recent changes to the database, newest first, with who made each one. A change that can still be undone shows Revert. Rows edited since keep their newer values. Some changes, such as deleting a table or column, can’t be undone.
