Create documents and folders
Members of a workspace can create; a guest (someone a single item was shared with) sees only what is shared with them.
Create a document
Section titled “Create a document”-
Open the folder it belongs in, or stay in All documents for the top level.
-
Choose New at the top of the sidebar, then New document.
The document opens with the cursor in it, ready to type.
-
Write. Until you rename the document, its first line is its title.
To name it yourself, click the title at the top of the page, type, and press Enter. The ⋯ menu beside Share has Rename… too.
Create a folder
Section titled “Create a folder”- Choose New, then New folder.
- Type the Folder name, and choose Create.
Instructions for agents is optional. It tells AI tools how to work inside this folder; see Give AI tools instructions.
Move documents and folders
Section titled “Move documents and folders”- Drag a document or folder onto a folder in the list, or onto a folder in the path above the list.
- Or open the row’s ⋯ menu, choose Move to folder…, pick a folder (or Top level), and choose Move here.
- To move several at once, Command-click or Ctrl-click them (Shift-click for a range), then choose Move to folder… in the bar that appears.
Find items in the list
Section titled “Find items in the list”Filter this list… narrows the folder you are in by name. Beside it, open Anyone and choose Me to see only what you own; open All types and choose Documents or Databases to see one kind. Click the star on a row to add it to Favorites in the sidebar. Shared with me lists what other people shared with you.
Delete and restore
Section titled “Delete and restore”- In a document, open the ⋯ menu beside Share and choose Move to Trash. In the list, it’s in the row’s ⋯ menu.
- To get it back, choose Trash at the bottom of the sidebar, then Restore in the row’s ⋯ menu.
- By default, items stay in the Trash for 30 days, then they are deleted for good. Delete forever does it at once, and can’t be undone.
The owner and the people who look after the workspace can delete items. Delete folder… deletes the folder and any folders inside it. The documents in it move to the Trash, so you can still restore them.
- Write together: see who else is in the document.
- Share a document: choose who can open it.
- Add images and files
- Create a database: for lists and tables.
